POSITION SUMMARY
Reporting to the Director of Facilities, the Senior Facilities Manager will assist in running the daily operations of Facilities and manage Facilities Coordinators, In-House General Contractor, and Handypersons on the team. This person will oversee all physical aspects of the buildings, including but not limited to cleaning, appliance maintenance, painting, electrical, plumbing, carpentry and amenities. They will lead the effort to maintain the highest cleaning and aesthetic standards of the Simons Foundation. They will be expected to act as the primary point of contact in the absence of the Facilities Director.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
- Manage and coach Facilities Coordinators, ensuring that tasks are completed as expected.
- Manage the In-House General Contractor and the Handypersons, ensuring that daily painting maintenance is scheduled and completed, along with ensuring that projects are completed in a timely manner and within budget.
- Serve as Facilities primary point of contact in the absence of the Facilities Director.
- Lead the oversight and coordination of service and repair contractors ensuring that:
- The contractors are providing the highest quality of service.
- All required notifications are made to the affected operating teams.
- Building occupants are made aware of potentially disruptive work being performed.
- Maintain cleanliness, aesthetic upkeep, preventive maintenance and repair programs throughout the entirety of the Foundation’s office spaces.
- Procure facilities equipment and materials.
- Process and submit expense reports and invoices in a timely manner.
- Be able to provide hands on support to the team if necessary
- Demonstrate knowledge of janitorial and construction processes and principles
- Maximize efficient utilization of all onsite facilities storage spaces.
- Monitor and report adherence to on-going preventative maintenance programs.
- Provide emergency response assistance and the necessary coordination.
- Plan and execute ad-hoc projects, such as gathering and leveling competitive quotes, scheduling and executing work.
- Inspect the entirety of the buildings to identify general corrective maintenance required.
- Take part in developing standard operating procedures for the Facilities Team.
- Monitor levels and usage of consumable supplies and related expenses.
- Cultivate, manage, and maintain all relationships among stakeholders, partner operating teams and service providers.
- Continuously look for ways to improve the team’s performance and quality of service
- Perform any other duties or tasks as assigned or required.
MINIMUM QUALIFICATIONS
Education
- Bachelor’s degree is preferred.
Experience
- At least 5 years of experience in operations and maintenance
- Experience with people management
- Experience with managing contractors
- Experience using building management systems and work order systems
- Experience with expense reports and invoices

- Must be professional and have superb customer service skills.
- Ability to interact with staff and build good working relationships
- Meticulous attention to detail is a must.
- Strong computer skills including Excel and Word
- Excellent written and oral communication skills
- Physical requirements include walking and standing for long periods of time, crouching, kneeling, crawling and climbing.
- Must be able to work in all outdoor and indoor environmental conditions.
- Must be able to work at elevations of 6 feet or more.
- Must be able to lift 50 lbs repeatedly
- Have working knowledge of the use of hand and power tools.
- Must be able to work occasional nights, weekends, holidays when required.

COMPENSATION AND BENEFITS
- The full-time annual compensation range for this position is $135,000 – $145,000, depending on experience.
