The Samuel H. Kress Foundation (Kress) is a private foundation that supports the study, preservation and enjoyment of European art from antiquity to the pre-modern era through its competitive grant and fellowship programs. Started in 1929, Kress serves the field of art history as practiced in American art museums and institutions of higher education, and in an array of research centers and libraries throughout the world. The Foundation further supports training and research in art conservation as well as the professional practice of art conservation. 

Position Overview 

The Samuel H. Kress Foundation seeks a Grants Administrator, who will have primary responsibility for the administration of the Foundation’s grant-making program activities, built on the Fluxx grants management platform. The position will serve as the first point of contact for the Foundation's grant-making and fellowships program activity both internally and externally. To this end, the Grants Administrator will be proficient at managing relationships with the Foundation’s grantees, program beneficiaries, and partners with the highest level of care and professionalism.  

The position requires exceptional verbal and written communication skills, strong organizational and multi-tasking ability, and an aptitude for working independently and collaboratively within a small team. The Grants Administrator is expected to be responsive and contribute meaningfully toward ongoing efforts to improve the effectiveness and impact of the Foundation’s activities. 

 

Key Responsibilities 

Grants Administration 

  • Primary responsibility for the administration and ongoing maintenance of the Fluxx grants management system  

  • Provide administrative and communications support over the entirety of the grant lifecycle, from prospective inquiry to application submission and review, as well as grant approval, payment coordination, and reporting  

  • Prepare and draft all grant-related communications with prospective and awarded grantees  

  • Maintain full functionality of the grants portal for all users, including applicants, grantees, reviewers, and Foundation staff 

  • Conduct grantee due diligence and ensure compliance with applicable federal and state regulations for private foundations 

  • Ensure that required documentation for grant eligibility, funding, and reporting is received and archived appropriately and in a timely manner  

  • Generate and provide regular reports and insights regarding the Foundation’s grant making activity 

Grants Operations 

  • Serve as the first point of contact for the Foundation's grant-making and fellowships program activity, both internally and externally  

  • Manage and archive correspondence and administrative records relating to the Foundation’s grant making activities and history  

  • Working with the Controller, facilitate timely payment of grants and accurate documentation, tracking, and reporting of relevant program budgets  

  • Assist with and participate in the grant review process  

  • Serve as a resource for Foundation staff and provide technical support and expertise relating to the Fluxx grants management platform  

  • Refine and improve the Foundation’s use of the Fluxx grants management system  

Administrative 

  • Attend and prepare materials for board meetings relating to the Foundation’s grant-making activity 

  • Handle confidential and sensitive matters with the highest level of discretion and professionalism 

  • Coordinate special projects and initiatives as directed by the President 

  • Serve as backup support for critical Foundation operations, including meeting set-up and scheduling, various essential operational activities as assigned 

  • Perform other duties and responsibilities as requested 

 

Qualifications 

Required: 

  • 3 or more years of relevant professional experience 

  • High level of proficiency and demonstrated experience working with the Fluxx grants management system 

  • Aptitude for systems-oriented thinking as applied to organizational processes and workflows 

  • Exceptional verbal and written communication skills 

  • Excellent attention to detail and organizational skills 

  • Ability to multi-task effectively and set priorities to ensure efficient functioning of the Foundation’s grants and fellowships program activities 

  • Ability to interact and represent the Foundation professionally with external partners, grantees, team members, and the Foundation’s Trustees 

  • High level of discretion and ability to handle confidential information 

  • Desire to work collaboratively and flexibly in a small team 

  • Interest in the mission of the Kress Foundation and the fields that the Foundation serves 

  • Strong familiarity with database management and office productivity applications 

Preferred: 

  • Strong knowledge of the arts and humanities landscape, particularly art history and conservation 

  • Experience working in higher education and/or arts and cultural heritage organizations 

  • Strong commitment to continued professional development

Working Conditions 

This full-time position is based at the Foundation's headquarters 5 days a week, with occasional travel required for conferences, and meetings. The role requires flexibility to work occasional evenings and weekends for events and board meetings.  

 

Compensation & Benefits 

The Samuel H. Kress Foundation offers a competitive salary commensurate with experience, plus comprehensive benefits including health insurance, retirement contributions, professional development opportunities, and generous paid time off. 

The salary for the Grants Administrator, is $75,000 - $85,000, depending on experience.
