Program Assistant/Associate - Theology Program, the HRL Initiative on Religion & International Affairs, and the Public Policy Program

The Henry Luce Foundation is seeking a Program Assistant/Associate to provide administrative and intellectual support to the Theology Program, the Henry R. Luce Initiative on Religion and International Affairs, and the Public Policy Program.  The position reports directly to two program directors, and works with the grants administrator to manage grants workflow within the two programs.

The program assistant/associate ensures the successful daily operation of the two programs, assisting with correspondence, communication with applicants and grantees, scheduling and travel, review of reports, and preparation for board meetings.  The assistant/associate also maintains knowledge of both program areas and may assist with strategic planning, research, and the development of new initiatives.


Respond to inquiries from grant-seekers and grantees; assist in the review of inquiries and proposals, in consultation with program directors

Maintain program directors’ appointment calendars (Outlook), contact lists, and grantee report logs

Provide program support as needed, including research, writing reports, and serving as rapporteur at meetings

Assist with preparations for board meetings (3 times/year), including grant write-ups

Manage travel arrangements, including transportation, accommodations, and conference registration

Handle arrangements for guests and visitors, including catering for meetings

Complete monthly expense reports and process reimbursements

Maintain knowledge of the program areas and support strategic planning and the development of new initiatives as appropriate

Assisting the receptionist and other program assistants as needed

Performing other duties as assigned


B.A. or advanced degree, preferably with relevance to theology, religion, the social sciences, media, and/or policy.

Administrative experience, preferably in a foundation, higher education, or research organization.

Excellent written and oral communication skills.

Ability to work collaboratively, to balance competing priorities, and to manage a variety of ongoing activities across multiple programs.

High level of proficiency in all MS Office applications, as well as experience with databases.

Previous experience using grant management software is preferred but not required.
