Position Overview
Reporting to the Director, Grants Management, the Grants Manager works to administer grants, acting as the primary contact with Program Teams in developing and reviewing grant materials for legal and regulatory compliance, ensuring the integrity of each grant awarded, and working with grantees in the awarding and monitoring of grants.
Pay Range: $120,000 - $135,000. This represents the present low and high end of the Foundation’s pay range for this position. Actual pay will vary based on various factors, including but not limited to experience.
Work Schedule: This role is on a hybrid work schedule, and required to be in the office on Mondays, Tuesdays, Wednesdays, and Thursdays.
Principal Duties and Responsibilities
- Works closely with Program Teams, Finance, and Legal to conduct appropriate due diligence, including reviewing proposals and budgets to ensure compliance with Foundation policies and IRS regulations for private foundations.
- Reviews grantee reports and deliverables for compliance, coordinating with Program Teams and Finance to monitor grants and maintain records of non-compliant grantees.
- Conducts reviews of prospective grantees’ financial health and risk analysis, determining risk rating and appropriate level of diligence for organizations to be funded.
- Identifies issues and flags complex grantmaking scenarios for review with Legal.
- Guides Foundation staff through the strategic and operational end of the grantmaking process, and monitors the progress of grants through the pre-award, award, and post-award stages.
- Drafts grant agreements in collaboration with Legal.
- Manages programmatic grant portfolio, assisting Program Teams in preparing relevant documentation for submission, approval, and monitoring, and manages the annual pipeline of grants and programmatic contracts; works with the Program Teams and grantees in reviewing and executing requests for grant extensions and amendments.
- Works with Finance to ensure payout targets are met, timely and accurate grant fund disbursement, and accurate reporting of grant expenditures, including Expenditure Responsibility reporting, where required, for annual IRS reporting.
- Participates in the Office of Grant Management’s ongoing efforts to improve and streamline the Foundation’s grantmaking processes, and contributes to the development of and enhancements to the Foundation’s online grant management system; assists in setting policies and procedures related to grantmaking records management, and data integrity.
- Conducts ongoing training on selected grants management and grant-making topics for new and existing staff as needed; in collaboration with the Director, develops programming for staff, including panel discussions, learning lunches, and spaces for peer exchange.
- Works to continually enhance grantee relations through training and collaboration with Program Teams.
- Works with the Records department to ensure accurate archiving of grant records and data; works with the Grant and Systems Manager, Finance, and IT on grant management system updates, training, data reporting, and analysis.
- Participates in field discussions, conferences, and training.
- Performs other duties as assigned.
Education, Experience, and Skills
- Generally expected to have 7 years of related experience, with a minimum of 5 years of experience in grants management.
- Advanced knowledge of Salesforce, Microsoft Office Suite, and the ability to learn new applications quickly.
- Experience working in a private foundation environment preferred.
- Excellent communication skills, both oral and written.

- Bachelor’s degree preferred.
