ELMA Philanthropies is seeking a Grants Management Assistant to join its New York City team. Reporting to the Director, Grants Management they will work collaboratively with ELMA team members in South Africa and Uganda to support efficient and effective grants management across the ELMA organization. The Grants Management Assistant will collaborate with the Director, Grants Management on finding ways to support continuous improvement of ELMA’s grantmaking and grants management processes and maintaining the integrity of ELMA’s Salesforce platform. The Grants Management Assistant will also work closely with ELMA’s Director, Grants Finance, providing support with grants finance administration.

The ELMA Music Foundation invests in organizations in USA and South Africa that support youth development through music, or provide assistance to members of the music community undergoing personal and financial hardship.

The ELMA Vaccines and Immunization Foundation’s mission is to expand vaccine and immunization coverage for children globally, with a special emphasis on Africa.

The ELMA Growth Foundation invests in the growth or expansion of initiatives that improve the lives of low-income communities in Africa.

The ELMA Caribbean Foundation supports efforts to advance health or combat the environmental and economic threats posed by climate change in the Caribbean.

Job Responsibilities:

Reporting to the Director, Grants Management the Grants Management Assistant will be expected to:

  • Support the programs team to ensure all data in Salesforce is accurate and up to date
  • Support the programs team to ensure reports for board, senior management, and the foundations are prepared in a timely, accurate, and high-quality manner
  • Support team training on new system features and releases, and create and/or update user training documentation, including creation of training videos
  • Follow investment approvals, coordinate with program staff on payment and reporting schedules, updating Salesforce accordingly
  • Support the Director, Grants Management with database administration, including uploading documents, marking payments and requirements, and running reports when requested
  • Assist the Director, Grants Finance with grants finance administration including coordinating processing of payments and workplans
  • Provide general administrative support for the Director, Grants Management and the Director, Grants Finance
  • Complete special projects as assigned by the Director, Grants Management and the Director, Grants Finance
  • Other duties, as assigned

Required Qualifications:

  • Bachelor’s degree is preferred but not required, plus 3 years of related work experience
  • Experience with Salesforce in a nonprofit and/or philanthropic environment, with a strong understanding of the platform. Salesforce Administrator certification is preferred but not required
  • Strong computer and software proficiency, and interest and ability in learning new applications quickly
  • Exceptional time management, administrative and organizational skills; detail-oriented
  • Passion for social justice and improving the lives of children in Africa
  • Ability to work in a dynamic organization; flexible and adaptable to rapid change; quick learner, comfortable with fast paced environment; a self-starter and team-player
  • Strong work ethic and ability to prioritize and multi-task
  • Fluency in English and excellent oral and written communication skills
  • Must be able to legally work in the U.S. without visa sponsorship
  • Ability to travel internationally as needed
  • The ability to work in-person in New York City

Salary, Benefits & Other Details:

Salary will be commensurate with experience and qualifications with attractive benefits. The salary range for this position is USD90,000 - 95,000.

ELMA employees are expected to work in the office located in New York City from Monday to Thursday, with the option to work remotely on Friday. On occasion, ELMA employees will be required to work in the office on Fridays.
