Foundation Administrators Network Meeting: Working with Vendors

The Foundation Administrators Network (FAN) is a professional peer network designed to support administrative professionals at Philanthropy New York member organizations.  In addition to sharing information over an active listserv, the network meets quarterly to give participants an opportunity to connect with colleagues in person, discuss topics of interest in a confidential setting, and meet Philanthropy New York staff who support the network. New members are welcome and encouraged to attend.
 

Meeting Agenda

Foundation administrators work with all types of vendors from facilities to IT to benefits to legal counsel to staffing. At the next FAN meeting, we will share peer-to-peer advice on the three phases of a vendor relationship: 
 
  • Entering a relationship (for example, finding potential vendors, receiving and reviewing bids, contracting)
  • Maintaining a productive relationship (for example, communication, project management, performance reviews)
  • Ending a relationship (for example, knowing when to change vendors, transition plans, exit clauses)
 
Please come prepared to share scenarios of challenges and learning opportunities you have experienced when working with a vendor. You may submit your ideas for any of the three phases ahead of time to Kristen Ruff (kruff@philanthropynewyork.org) as well as submit ideas when you arrive at the FAN meeting on March 27th.
 
We will facilitate the discussion to allow attendees to quickly present their scenario and then turn to the group to brainstorm relevant solutions, advice, and learnings.  Our goal is to generate ideas that can serve as a catalyst for conversations after the meeting.
 
We look forward to a lively discussion among FAN members. All are encouraged to share their professional knowledge and experiences on these topics.

We also want to use this opportunity to expand our collection of vendor lists. Please review the vendor lists currently posted in the FAN section of Philanthropy New York’s website and use the template provided to:
 
  • Update/add information on the current lists
  • Submit vendor information for new categories
 
Reminder: As always, creating a confidential space at network meetings is very important.  Please do not share specific details from the meetings with individuals outside the network.
