The Workplace Experience Manager will work to develop a meaningful and positive experience for all occupants and visitors of the Ford Foundation Center for Social Justice. He/She/They will work to ensure that our physical space and operations are facilitating our staff’s productivity, fostering an inclusive environment, and creating opportunities for people to connect with each other and our mission. 

Reporting to the Director of Facilities, the Workplace Experience Manager will build and maintain strong relationships with HR, IT, and other departments to continue to build on our culture and work to understand the needs of all occupants of the Ford Foundation Center for Social Justice. The ideal candidate will be dynamic, curious, collaborative, and comfortable with driving change. The Workplace Experience Manager will be comfortable with change management and have the ability to design pilots, test systems and create new ones that are user centric, built on the human experience. 

This is a great opportunity for an experienced professional to utilize their innovative, analytical and creative skills to convey information to staff and other occupants of the Ford Foundation Center for Social Justice, whether that be through compelling one-pager’s or via workshops and mini focus groups. The person in this role will also have the opportunity to be collaborative and take ownership of their projects. 

RESPONSIBILITIES

Workplace Systems and Procedures

  • Partner with Facilities Management (FM) sub-teams and other departments to streamline systems and procedures, identify opportunities, and implement user-centered solutions

  • Manage and maintain building policies and procedures document

  • Design and implement pilots to test new systems and ideas

  • Provide regular reporting and analysis on workplace KPIs, including budget, service requests, purchasing, visitor management, and sustainability metrics, etc.

  • Work closely with Director, Facilities Management on ad-hoc projects and initiatives

Communications and Engagement

  • Develop and implement strategy for how our team communicates within the foundation

  • Manage and maintain all Facilities Management content on our foundation intranet site

  • Curate and send bi-monthly e-newsletter with building updates for all staff and tenants

  • Educate staff on new systems and procedures through communications, one-pagers, and in-person trainings

  • Collect staff feedback on building systems through multiple channels, including an annual operations survey and Staff Advisory Committee

  • Help foster a sense of community among building occupants through communications and other opportunities for learning and engagement throughout the building

Facilities Management Staff Engagement

  • Help cultivate a positive culture among the facilities management team members

  • Work closely with team leadership to develop FM All-Staff meeting agendas, team retreats, and outings

  • Help to identify ways to incorporate core values and Diversity, Equity and Inclusion (DEI) in all engagements

QUALIFICATIONS

  • BA/BS plus 5 years of experience, or equivalent combination of education and experience, in facilities management, event operations, or similar fast-paced, operations-oriented role

  • Solutions-oriented with a drive to understand people and what their needs are

  • Exceptional attention to detail and ability to communicate at all levels

  • Strong planning and organization skills and ability to manage multiple projects at the same time

  • Interest in staff engagement with a proven ability to build culture

  • Creative problem-solver that can think with both sides of the brain

  • Self-starter who can work well independently and in teams

  • Strong communication skills, including ability to design engaging materials and lead compelling trainings and mini-workshops

  • Ability to analyze data, draw insights, and provide recommendations

  • PowerPoint, Publisher, Excel, InDesign, and G-Suite (google docs, forms, drive, etc.)

PREFERRED QUALIFICATIONS

  • Prior experience in facilities, marketing, communications, human resources or user experience is a plus

  • Someone who can connect with people and has experience delivering trainings is preferred

  • Strong reporting and analysis skills is a plus

PHYSICAL REQUIREMENTS/TRAVEL:

  • This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer.
