The Medical Research Program aims to advance the prevention, diagnosis and treatment of human disease by strengthening and supporting clinical research. Through this program, the foundation supports timely initiatives that accelerate the translation of biomedical discoveries, technology and medical insight into clinical applications that equitably improve human health. In particular, we focus on incentivizing early-career creativity in clinical research and on building a more equitable medical research enterprise.

The Program Associate / Medical Research is a contributing member of a high-performing three-person team that collaborates, together and as individuals, with functions and teams across the foundation and with external contractors to maximize impact for a more creative, equitable and sustainable future. The Program Associate is passionate about the foundation’s mission and the ideas that it drives, in particular about those in medical research. The Program Associate operates rigorously, collaboratively, positively and in good faith despite differences in beliefs or opinions, is responsible in the use of foundation resources, embraces change and adapts to it, is inclusive, and recognizes the distinct role of race and other structures of disadvantage, discrimination and oppression underlying inequities that we aim to address.

POSITION

The Program Associate is a detail-oriented, motivated, proactive, structured, highly organized and responsible individual who is a team player and exercises discretion and judgment in fulfilling responsibilities.

The purpose of the Program Associate position is as follows:

  1. To enable the successful implementation of the DDF Medical Research Program strategy.
  2. To support organizational priorities through understanding of the distinct ideas that DDF is driving and through active identification of opportunities to contribute to advancing them as an individual with unique skills, ideas and experiences.

In summary, the Program Associate supports the activities of the Medical Research Program by managing and overseeing administrative, event planning, budgeting and communication matters, and by being an integral member of the DDF organization.

RESPONSIBILITIES

Examples of responsibilities fulfilled by the Program Associate include the following:

Project responsibilities

  • Prepare application templates, process applications and provide administrative support for the review process.
  • Coordinate grants and contracts processes and timelines, and draft agreements and contracts.
  • Collaborate with the foundation’s Grants Management staff and Medical Research Program staff to monitor post-award progress and expenditures.
  • Become an effective user of the foundation’s grants management and application intake software.
  • Collaborate with Medical Research staff to develop and manage project tasks and timelines.

Communications Responsibilities

  • Initiate, draft, review, coordinate and issue reports and presentations for board, staff and program activities.
  • Collaborate with the foundation’s Influence and Marketing function to write, proof and upload website content and to highlight ideas driving the work of the program.
  • Maintain and use electronic mailing lists.
  • Communicate with internal and external parties such as staff, Board of Trustees, reviewers, potential applicants, field leaders and grantees.

Meeting Organization

  • Plan and manage event logistics for program-related meetings and site visits, including establishing contracts and developing registration materials.
  • Identify and manage vendors for meeting locations, catering and lodging.

Budget and Accounting Responsibilities

  • Coordinate budget and accounting processes for Medical Research staff, including purchasing.
  • Fulfill, track and process all expenses, including honoraria, invoices and reimbursements, and manage costs within the program budget.
     

QUALIFICATIONS

Required

  • Bachelor’s degree and work experience in a professional setting.
  • Strong interest in medical research.
  • Outstanding oral, writing and editing skills.
  • Analytical and problem-solving skills.
  • Strong organizational and time management skills, with the ability to manage multiple projects and priorities simultaneously.
  • Strong technology skills with a high level of experience in Microsoft Excel, Word and PowerPoint.

Preferred

  • Writing experience.
  • Training in a scientific field.
  • Knowledge of scientific experimental design.
  • Experience working at a grantmaking organization or academic institution in biomedical research.
  • Experience in accounting, database, project management and web content applications (e.g., Great Plains, SurveyMonkey, Mailchimp, GivingData, Salesforce, Asana and content management systems).

COMPENSATION

  • Anticipated hiring salary range is $61,000-$77,000, and the final offer will depend on experience.
