Position Summary:

The Rockefeller Family Fund (RFF) is seeking a Program Assistant to provide administrative and programmatic support to our Institutional Accountability and Individual Liberty (IAIL) program and general administrative support for the RFF, particularly regarding board meetings.  

The IAIL program encourages the active participation of citizens in government, seeks to make government and private institutions more accountable and responsive, and supports efforts to ensure that individuals’ rights and liberties under the Constitution are protected. The IAIL program’s current initiative, the Democracy & Power Innovation Fund (DPI Fund), supports organizations working to connect people of color and low-income people to their political power in ways that result in durable agency and voice in our democracy. The DPI Fund is focusing its resources to incubate, scale, and sustain innovative and effective best practices that prioritize effective people-first community organizing and the development and deployment of authentic, values-based messages and narratives linked to civic engagement.

The Program Assistant is integral to the IAIL program and its projects and will be an important contributor to advancing RFF’s mission and program goals. This position is an opportunity to build solid professional skills and networks through engagement with nonprofits, foundations, and others committed to advancing democracy and social justice. 

RFF’s main office location is 475 Riverside Drive, New York, NY 10115; RFF also has staff based in Washington, DC. RFF is currently working remotely. RFF offers highly competitive compensation and a generous benefits package.  

Position Duties & Responsibilities:                                                                         Percentage of Time

Program Administration & Management                                                                                 75%      

  • Manage Associate Director’s schedule, calendar, and travel itineraries.
  • Collaborate with program staff to develop and prepare general memos, web content, documents, and presentations for staff, board members, and external stakeholders.
  • Contribute to the development of program and grantmaking strategy.
  • Serve as primary point of contact for all grant requests and vendors; maintain records of all grants and contracts.
  • Track and monitor status and budgets of projects, contracts, and grant spending.
  • Collaborate with IAIL program staff in the development of grant proposals, grant reports, and related materials.
  • Maintain general project updates, research reports, and findings on the website.
  • Plan and manage RFF-sponsored program convenings and meetings.
  • Attend meetings with grantees, other organizations, and partners.
  • Work across other RFF program areas to advance institutional goals and collaboration.

Institutional Administration                                                                                                     25%

  • Manage reimbursement requests and AMEX reporting for the Associate Director of IAIL and Director of RFF.
  • Support the Director in administrative tasks, as needed
  • Assist in scheduling and preparing for all-staff meetings and board meetings including committee meetings.
  • Assist staff in meeting preparation and planning, including coordinating food, reserving rooms, and making other preparations for RFF’s guests as needed.
  • Maintain the RFF website and general inbox, and communications with the RFF board, as needed.
  • Assist in the creation of board materials including the board book
  • Work with program staff on letters of inquiry

Position Qualifications:

Skills and Abilities

  • Knowledge of and demonstrated proficiency in the use of office computer applications, including G-Suite applications (Slides, Docs, and Sheets) and Microsoft Word, Excel, PowerPoint, and Outlook.
  • Excellent oral, written, and interpersonal communication skills.
  • Strong organizational skills, attention to detail, and ability to multi-task in a sometimes fast-paced environment with competing deadlines.
  • Sound judgement and discretion.
  • An ability to work independently and in a collaborative setting.
  • Proven ability to work with a variety of stakeholders from diverse backgrounds.
  • Willingness to perform other duties as assigned.

Education and Experience

  • BA/BS plus at least 2 years of experience working to support social justice strategies; and/or deep grounding in subject matter related to the ideas and approaches outlined above.
  • Experience with website management: Squarespace or Wordpress preferred
  • Academic knowledge of United States government, democracy, civic engagement, and movement organizing preferred
  • Experience with grantmaking, development, and/or fundraising preferred

Other Requirements

This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, and/or utilize office machinery (e.g., a copy machine/printer).
