We seek an enthusiastic, service-oriented, self-starter professional with a commitment to excellence to join our Sponsored Projects and Funds team. The individual must have strong grants management experience, exceptional project management, client service orientation, and people management skills. The individual will possess high emotional intelligence to manage relationships with both internal and external stakeholders and partners. We desire a highly organized, reliable, detail oriented person, who can develop and implement systems and business processes to create a center of excellence for Grants and Contract Management at RPA. The Grants and Contracts Manager (the Manager) is a key member of the Grants and Contracts Management unit. The Manager has the primary responsibility of ensuring the successful administration of grants and contracts, including workflow processes, policies and procedures, data collection and reporting. The position requires dedication to accuracy and compliance, as well as the ability to envision, recommend, and implement process improvements. The Manager, is expected to lead efforts to oversee the organization’s grants management system with an eye on strengthening organizational performance and enhanced reporting capabilities. The Manager, plays a key informative role in the oversight of legal, analytical, technical, and operational components of international and US-based grantmaking. This position reports to the Director, Sponsored Projects and Funds, and supervises the Grants Administrator, and/or other junior level staff as assigned. The responsibilities include:

Grants and Contracts

+    Lead efforts to optimize grants and funds management through streamlined workflows, seamless hand offs and enhanced reporting.

+    Oversee the high standard and consistent implementation of grantmaking and monitoring processes.

+    Ensure all grants are compliant with IRS and other regulations as well as with our internal policies and requirements.

+    Ensure that accurate records are entered and maintained for donor reporting and deliverables, as required in grant agreements

+    Oversee and develop all policies and procedures to support Grants and Contract Management

+    Maintain a strong working relationship with finance team staff, Advisors, Project Coordinators, Grant Administrator, and Senior Staff.

+    Analyze financial reports and identify problem areas and compliance issues, and work with client staff and grantees to resolve them.

+    Review grant and contracts agreements, including evaluation of terms and conditions for business risks, soliciting and documenting feedback from internal partners and clients for input into the negotiation process, and documenting review and approval of agreements for execution.

Analysis and Systems

+    Ensure that proper systems are in place to facilitate smooth and timely submission of internal and donor reporting (both financial and program), close out requirements and ensuring accountability is an integral part of the operation.

+    Play a key role in the administration of the grants management database; management of internal controls and quality of data; and ensuring the accurate and efficient reporting of grants information.

+    Monitor grant data and assist in the generation and dissemination of information to provide insight into grantmaking practices.

Training and Supervision

+    Participate in/lead trainings activities related to best practices, innovative strategies, and trends in grants management

+    Train staff on grants procedures and grants management software

+    Actively engage with philanthropy affinity organizations to keep current on field-related trends, as well as best practices in grantmaking and monitoring



Education: BA/BS Degree or equivalent work experience required

Experience: Minimum 5 years of related experience with similar responsibilities.

Skills/ Knowledge

+    Understanding of database build, implementation, and report construction

+    Expertise in grants management systems required; experience with Fluxx highly desired

+    Strong understanding of contracts and cooperative agreements including their relevant terms and conditions

+    Experience leading groups in multifaceted projects and/or change efforts

+    Effective project management and customer service skills, with the ability to oversee and prioritize multiple projects and effectively manage workflow to meet deadlines.

+    Provide exceptional, timely client service in all dealings with internal and external customers

+    Exceptional organizational, analytical, and problem-solving skills; high attention to detail required

+    Experience with financial and budget analysis, a plus

+    Able to work independently, as well as with team in multiple locations

+    Excellent written and verbal communication skills

+    Nimble and able to move with shifting priorities
