We seek an enthusiastic, service-oriented, self-starter professional with a commitment to excellence to join our Sponsored Projects and Funds team. The individual must have strong grants management experience, with the ability to work in a stand-alone role and as part of a team, and who sets a high standard for himself/herself and the work product. The candidate should demonstrate commitment to RPA’s values of integrity, diversity, quality and trust.


The Grants Administrator supports the management and implementation of all components of grants processing, both from donors and to grantees. This includes legal and regulatory compliance, collecting and reviewing all grantmaking requirements, data entry, and reporting of data to both internal and external clients.

Main responsibilities include:

+    Conduct due diligence of grantees, including reviewing all grant requests for completeness and adherence to internal and legal requirements, and IRS regulations

+    Enter relevant grant data into grants management and client relationship management systems

+    Ensure integrity of data, in accordance with legal and regulatory requirements, as well as RPA’s processes and requirements

+    Maintain and retrieve grants data from the online grants portal

+    Support grants tracking for expenditure responsibility grantmaking, including, but not limited to, charitable lobbying and 501(c)(4) entities

+    Enter and maintain accurate records for donor reporting and deliverables, as required in grant agreements

+    Stay abreast of new requirements, trends, and best practices within the field of grants administration

+    Train staff on both grants procedures and grants management system

+    Serve as a resource for interpretation and application of grants administration policies and procedures

+    Provide support in drafting grant agreements and contracts, as needed

+    Serve as a link between program, finance, information technology, and other administrative functions so that all grantmaking activities are smoothly implemented

+    Assist in preparing grant history reports for inclusion in board meeting dockets and other dockets as needed

+    Undertake special projects as assigned or needed


Education: BA/BS Degree or equivalent work experience required

Experience: Minimum 3 years in grants management, including international grantmaking and expenditure responsibility

Skills/ Knowledge

+ Knowledge of best practices in grantmaking including related IRS regulations

+ Ability to work independently and as a part of a team

+ Excellent attention to detail and organizational skills

+ Excellent written and oral communication skills, with the ability to communicate complex technical, budgetary and grants administration details to staff and donors

+ Ability to multi-task, prioritize, and follow through to effectively manage work and meet multiple deadlines

+ Familiarity with nonprofit sector, including donor advised funds, grantmaking organizations, and fiscal sponsorship

+ Understanding of database management and report construction

+ Expertise in Fluxx or similar grants management system
