Position Summary:

The Rockefeller Family Fund (RFF) is seeking an experienced nonprofit professional to serve as a Finance & Grants Associate. Reporting to the Finance Manager and the Grants Manager, the Finance & Grants Associate is responsible for helping to maintain the weekly financial and grant activities of the RFF, as well as working with RFF’s partner accounting team at the Rockefeller Brothers Fund.  The Finance & Grants Associate is integral to the financial and grants management processes of RFF’s program areas as well as various donor-advised funds to help advance RFF’s mission and program goals. This position is an exempt position.

RFF’s main office location is 475 Riverside Drive, New York, NY 10115. RFF is currently working remotely, but when the office reopens, this position will be expected to work from the New York office several days per week. Position Duties & Responsibilities:                                                                                         Percentage of Time

Financial Management                                                                                                                  50%

  • Support the Finance Manager on RFF financial reports and compliance records.
  • Manage weekly payments from RFF to grantees, contractors, and other partners on Manage monthly expense and AMEX reports for staff.
  • Work with Finance Manager to manage weekly and periodic bank transfers.
  • Manage the day-to-day tracking of revenue and expenses for all special projects and donor advised funds and reconcile all funds, including quarterly grants reconciliation, with the accounting office.
  • Work with RFF staff to provide materials needed for annual audit and tax return.
  • Prepare quarterly financial and grant reports for the RFF’s donor-advised funds.
  • Serve as a liaison between RFF and its accounting partners.
  • Schedule and attend finance planning and reporting meetings, including annual audit, tax return, and budget meetings.
  • Work with Finance Manager to implement new financial, administrative and compliance systems that will increase organizational productivity.
  • Track all contributions to RFF and provide and store backup documentation for each transaction.

Grant Administration                                                                                                                      35%

  • Support staff with administrative tasks related to life cycle of grants, including but not limited to grant compliance, generating grant documents, mailing grant agreements and grant payments.
  • Maintain electronic and paper files of grant documents and resources.
  • Assist Grants Manager with administering grants for donor-advised funds and projects through grants management system
  • Support Grants Manager with data entry and coding in grants management system
  • Assist grantees with grants management software
  • Work with Grants Manager to contribute to improvements on grants management workflow.
  • Serve as first point of contact on email for public inquiries of RFF’s grantmaking and refer as appropriate.

Program Oversight & Compliance                                                                                             10%

  • Support the onboarding and departure of projects and donor advised funds to/from RFF.
  • Assist programmatic, finance, and grants staff with contract management, particularly with contractors and contract terms.

Board & Governance Oversight                                                                                                 5%

  • Assist RFF management with creating financial and grants reports for tri-annual board meetings.

Position Qualifications:

Skills and Abilities

  • Knowledge of and demonstrated proficiency in the use of office computer applications, including G-Suite applications (Slides, Docs, and Sheets) and Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience managing data throughout multiple platforms.  RFF primarily uses Sage Intacct, SmartSimple Grants Management System, QuickBooks Online, as well as several banking platforms, to manage accounting and grantmaking.
  • Excellent oral, written, and interpersonal communication skills.
  • Strong organizational skills, attention to detail, and ability to multi-task in a sometimes fast-paced environment with competing deadlines.
  • Sound judgement and discretion.
  • An ability to work independently and in a collaborative setting.
  • Willingness to perform other duties as assigned.

Education and Experience

  • BA/BS plus at least three years of experience working in an accounting, finance, and/or grants management role.
  • Experience with Intacct, QuickBooks, and/or preferred.
  • Experience working in nonprofit accounting preferred.

Other Requirements

This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, and/or utilize office machinery (e.g., a copy machine/printer).
